Position Title: (115)  Business Manager 

Supervised By:   Executive Director 

Pay Grade/Classification:  Administration; Full-time; Exempt

Job Summary: Develop and administer annual agency budget with responsibility for all aspects of agency financial management and record keeping.  Maintain and report data on program operations for internal and external review.  

 

Duties and Responsibilities: 

  • Help foster and maintain a welcoming, trauma informed and safe environment for clients. 
  • Assist Executive Director in preparation and administration of annual budgets.  Prepare monthly reports for the Executive Director and Board to monitor spending vs. budget. 
  • Maintain accounting system of all income and expenses of the Houses of Hope of Nebraska agencies in accordance with accepted standards. 
  • Oversee ADP TotalSource bi-monthly payroll, related reports, and payments.  Ensure timely payments for the 403(b) transactions.   
  • Administer Credible EMR records for billing and client outcomes.  Utilize or build reports as needed for reporting results of services.  Assist with configuration for EMR billing, employee set up and security. 
  • Prepare billings to Region V, Region II, Lancaster County/JBC, Medicaid, NE Department of Health and Human Services, Probation and other payers.  Collaborate with Credible RCMS to ensure there is follow up and payment for claims to Medicaid and insurance companies. 
  • Collaborate with any auditing agencies and needed.  This will include external fiscal auditing agencies, Regions, and other collaborating partners. 
  • Verify and prepare payments for bills and invoices submitted for payment for all programs.  Ensure monthly reporting submissions are provided to the Regions for reimbursement of services. 
  • Maintain accurate and timely billing and accounting records for all agency programs.  Providing a monthly status reports to Executive, Clinical and Program Directors. 
  • Maintain all required licensure, certification, and tax-exemption status compliance issues. 
  • Monitor and record incoming receipts, donations and client payments. 
  • Reconcile all financial accounts. 
  • Maintain current agency Accounting Manual practice entries.  
  • Monitor for and submit all compliance, billing, and client data reports as spelled out in agency contracts. 
  • Responsible  to submit monthly reports accounting for all SNAP transactions.  Collaborate with the Intake Coordinator for balancing funds received are accounted for. 
  • Attend EMR and Region meetings to remain current on changes or opportunities which may impact Houses of Hope of Nebraska agencies. 
  • Participate in duties to fulfill objectives set by the Board of Directors as deemed necessary by the Executive Director.

Minimum Qualifications: Associates Degree in accounting required.  Bachelor’s Degree preferred. Three years’ work experience in full charge accounting and management required. 5 years' experience in lieu of accounting degree will be considered. Proven experience in all controller functions of non-profit accounting, including experience with multiple funding sources, grants and 501(c)3 compliance issues preferred.   

 

Physical Requirements: Professional/office job involving sitting (some walking or standing), movement around between program facilities, and minor exertion of up to 25-50 pounds to lift, carry, push pull or otherwise move objects commonly found in an office setting.
